Job Description: The Executive Assistant & Office Manager is a key part of organizational efficiency, helping the CEO manage his time and stay on top of daily challenges. They also act as a bridge between executives and teams, ensuring smooth communication and coordination. They oversee daily office operations, manage administrative tasks, and support the smooth functioning of our office.
Responsibilities:
- Being the point of contact for general communications with their boss
- Making travel arrangements for the executive officer they work for and keeping track of their itineraries
- Planning and scheduling meetings
- Recording meetings (if required)
- Researching and organizing data to represent the senior management, which may include directors, executives, and committees
- Compiling expense reports
- Handling memos, reports, invoices, and related documents, including sensitive information
- Keeping confidential information
- Screening visitors and deciding if they should be allowed to meet with the executives
- Going through the incoming documents (memos, invoices) and redistributing them
- Office duties such as sourcing office supplies and handling the filing system
- Managing and recording the supply needs
- Providing complete administrative support
- Using technical tools and software such as the Microsoft Office Suite
Requirements:
- 3+ years’ experience as an Executive Assistant
- Experience with booking travel and creating expense reports
- Superb time management skills
- Energetic and highly organized with incredible attention to detail
- A high energy, self-starter with a hands-on, “get it done” mindset
- Strong writing, listening, and communication skills
- Proficient in Microsoft Office Suite with a particular emphasis on scheduling in Outlook and PowerPoint presentations
- A strong willingness to learn and grow within a team
Our company is headquartered out of Asbury Park, New Jersey. Our preference is for locally based employees, as this is an in-office role. Employees must be available and camera-ready for work during standard office hours of 8:30 AM (ET) – 5:30 PM (ET).
