The PM team at hx is dedicated to delivering best in class projects internally & for our clients. In this role particularly, improving internal project governance, processes, and performance metrics, ensuring alignment across departments to enhance client satisfaction and operational efficiency. We act as the backbone for our Professional Services teams, providing support in planning, documentation, billing, and reporting. As we continue to grow, we need a meticulous Internal PM to maintain seamless financial and administrative operations that allow our teams to focus on delivering high-value projects.
Key Responsibilities
As an Internal PM, you will be responsible:
Billing Management: Ensure accurate and timely billing for all client projects, tracking expenses, time, and materials against budget forecasts. Collaborate with Finance to reconcile accounts and address discrepancies proactively.
Reporting: Generate regular project performance reports, tracking key metrics such as timelines, budgets, and client satisfaction. Provide insights and recommendations to improve reporting accuracy and frequency. Be able to support the Project Management team with all aspects of a project including: statement of works, contracts, change, budgets, project plans, reporting, action tracking, RAID management, and stakeholder management.
Documentation and Standards: Maintain project documentation, templates, and standardized procedures for consistent project management practices. Support the PM team in enforcing adherence to project governance protocols.
Resource and Budget Tracking: Assist in tracking project budgets and resources, ensuring allocation aligns with project requirements and timelines. Work closely with PMs to monitor expenses and flag any overages.
Data Management and Analysis: Collect, organize, and analyze data from projects and support the team with actionable insights that drive better decision-making and project outcomes.
Cross-functional Collaboration: Work with Project Managers, Technology, and Finance teams to optimize project operations and improve collaboration across departments. Ensure that Project Management is used to drive value wherever it is needed.
Internal Project Management: Manage the project lifecycle for internal projects via a clear understanding of the fundamentals of project management. Be able to manage projects independently with oversight from a PM or lead if required.
Mission
We're revolutionizing the insurance industry with our innovative platform, and we’re looking for a detail-oriented and organized Internal Project Manager work across our teams, sitting within our Project Management team. This role will be pivotal in streamlining project billing, reporting, and ensuring consistent project documentation practices. You’ll help us enhance transparency and efficiency across the business, allowing us to continue scaling and delivering exceptional client experiences.
In this role, you’ll work closely with the Project Management team to support accurate billing processes, create insightful reports, and facilitate smooth, well-documented project transitions for our clients.
Initial Deliverables
Within the first month:
Complete onboarding and training on project management tools and billing systems.
Review current reporting structures, billing processes, and documentation standards.
Start generating weekly project and billing reports for internal stakeholders.
Within three months:
Take full ownership of the billing process, ensuring accuracy in invoicing and data reconciliation.
Implement streamlined documentation practices and update templates.
Support in refining project performance metrics, developing better ways to measure success and provide data-driven insights.
Within six months:

Attention to Detail: Ability to accurately track and report on project data, billing, and expenses to ensure transparent and reliable documentation.
Analytical Mindset: Comfortable working with data and reports, capable of generating insights and identifying areas for improvement.
Organizational Skills: Ability to manage multiple projects’ documentation, billing, and reporting needs in a fast-paced environment.
Proactive Approach: You anticipate needs and take the initiative to address project and billing issues, improving project processes and reducing inefficiencies.
Experience & Skills
We’re more interested in what you can deliver than how long you've been delivering it, so our requirements are flexible. However, the right person for this role will ideally have:
Experience in Project Support or PM Functions: 1-2 years in project support, PMO, finance, or billing management.
Financial and Billing Knowledge: Familiarity with billing processes, reconciliation, and budget tracking.
Strong Reporting Skills: Comfortable with reporting tools and Excel, able to create, format, and analyze project-related reports.
Project Management Knowledge: Familiarity with project management methodologies, tools, and documentation standards.
Communication Skills: Clear communicator with the ability to collaborate cross-functionally and present data to stakeholders.
